- Cookie data (with your consent) — see Section 7

- Server logs (IP address, request time, user agent) kept short-term by our hosting provider for security and abuse prevention
We do not collect payment card details — payments are taken in person on completion of the job. We do not collect special-category data (health, biometric, political, religious, etc.).
3. How we use your data
We use your personal data to:
- Provide our service — respond to your quote request and carry out your booking
- Communicate with you — confirm appointments, send reminders, follow up after the job
- Improve our service — understand what services are in demand and how customers find us
- Legal compliance — maintain records for tax and business administration purposes
We do not use your data for automated decision-making, profiling, or marketing to third parties.
4. Legal basis for processing
Under UK GDPR, we process your data on the following legal bases:
- Contract performance (Article 6(1)(b)) — processing necessary to carry out the service you requested
- Legitimate interests (Article 6(1)(f)) — following up on quote requests and understanding service demand
- Consent (Article 6(1)(a)) — for analytics cookies, which you can accept or reject via our cookie banner
- Legal obligation (Article 6(1)(c)) — maintaining records required by law (e.g., for HMRC)
5. How long we keep your data
We keep your personal data for up to 2 years from your last interaction with us, after which it is deleted. Financial records (as required by HMRC) are kept for 6 years.
6. Who we share your data with
We do not sell your data to third parties. To run the booking flow we share specific data with the following processors, each acting on our instructions:
- Google Firebase (Firestore + Authentication + Storage) — our database, admin login, and gallery storage. Data is stored in the London region (europe-west2). Google's privacy policy: policies.google.com/privacy
- Google Calendar — appointment scheduling for our installer team. Booking date, time, customer name, and address are written to a private internal calendar.
- Gmail (Google) — sending booking confirmations, reminders, and review-request emails to you.
- Google Places API — postcode lookup when you submit a quote, so we can confirm coverage and travel time. Only your postcode is sent.
- Google Maps API — geocoding and travel-time calculation for our internal routing. Only the address you provide is sent.
- Hosting provider — serves our website. The hosting provider sees standard traffic data (IP address, request time, user agent) for security and abuse prevention. No application data passes through.
All processors are bound by data-processing agreements that require them to handle your data securely and only on our instructions. We do not pass your data to advertising networks, data brokers, or marketing partners.
International transfers
Most processing happens in the UK (London region). Some Google services may transfer limited operational data outside the UK/EEA — for example, infrastructure logs handled in Google data centres in the United States. Where this happens, transfers are protected by the UK’s International Data Transfer Addendum and the EU Standard Contractual Clauses, as supplemented by Google's certifications. You can read Google's data-transfer summary at cloud.google.com/privacy.
7. Cookies
Our website uses the following cookies:
- Strictly necessary cookies — session management. These cannot be disabled because the site cannot function without them.
- Referral cookie (
mtv_ref) — first-party functional cookie set only after you actively click a partner referral link (the URL pattern/ref/[partnerId]). Stores the partner’s referral code so commission is attributed correctly if you go on to book. 30-day expiry. No behavioural profiling is performed and the cookie is not shared with any third party. - Analytics cookies (Google Analytics 4) — set only after you click “Accept” on our cookie banner. Records page views, session data, and basic device information with IP-address anonymisation enabled. Until you accept, Google Consent Mode keeps analytics_storage in a denied state — Google still receives anonymous, cookieless aggregated pings (used for traffic estimation), but no cookies are written and no individual session is tracked.
- Behavioural-analytics cookies (Microsoft Clarity) — set only after you click “Accept”. Records aggregated heatmaps and session replays of how visitors navigate the site so we can identify usability issues (e.g. confusing layouts, broken links). Replays are masked: text input fields, email addresses, phone numbers and other potentially sensitive content are automatically redacted before upload. If you decline, the Clarity script is not loaded at all and no Clarity cookies are set. Provider: Microsoft Corporation (privacy policy at privacy.microsoft.com/privacystatement).
How to accept, decline, or change your choice
The first time you visit our site, a small banner appears in the bottom corner with two equally-prominent buttons: Accept and Decline. Either choice is one tap and the site works exactly the same way afterwards.
You can change your choice at any time by clicking “Cookie settings” in the footer of any page — the banner reopens and you can switch your decision. Your choice is remembered locally in your browser; clearing your browser data will reset it and you will see the banner again on your next visit.
You can also block or delete cookies for our domain at any time via your browser settings — see Chrome, Firefox, Safari, or your browser’s help pages.
8. Your rights
Under UK GDPR, you have the right to:
- Access — request a copy of the personal data we hold about you
- Rectification — request correction of inaccurate data
- Erasure — request deletion of your data ("right to be forgotten")
- Restriction — request we limit how we process your data
- Portability — receive your data in a portable format
- Object — object to processing based on legitimate interests
- Withdraw consent — withdraw consent for analytics cookies at any time
To exercise any of these rights, contact us at info@mounttv.co.uk. We will respond within 30 days.
9. Complaints
If you are unhappy with how we handle your data, you have the right to lodge a complaint with the UK supervisory authority:
Information Commissioner's Office (ICO)
Website: ico.org.uk
Phone: 0303 123 1113
10. Security
We take appropriate technical and organisational measures to protect your data against unauthorised access, loss, or disclosure. Specifically:
- Our database is secured by Firebase Authentication and Firestore security rules — admin access is permitted only for accounts on an explicit allow-list.
- All connections to our site and admin tools use HTTPS / TLS.
- Access to personal data is limited to authorised Mount TV team members on a need-to-know basis (the booking admin and the installer attending your job).
- Payment card details are never collected or stored — payment is taken in person on completion.
11. Children's privacy
Our service is directed at adults arranging TV installations in their home or business. We do not knowingly collect personal data from anyone under 16. If you believe a child has submitted personal data to us, contact us at info@mounttv.co.uk and we will delete it.
12. Automated decisions and profiling
Our online quote tool calculates a price estimate from the wall type, TV size, and add-ons you select. This is a transparent, formula-based calculation — not profiling and not a decision that has any legal or significant effect on you. A human team member reviews and confirms every quote before any booking is finalised. We do not use your data for behavioural advertising or third-party profiling.
13. Changes to this policy
We may update this policy from time to time. The "last updated" date at the top of this page shows when the most recent changes were made. Continued use of our website after changes constitutes acceptance of the updated policy.
